1. Section Manager (Soft Service)

A. JOB DESCRIPTIONS
- Operation Follow-up
o Directly supervise all OCS sites supervisors in a key customer stores
o Manage start-up new sites and services by setting up a team and organization answering the
requirements of the contract in order to ensure a proper and efficient management of the
project.
o Ensure that all company and division policies are followed by all their staff and properly
implemented through supervisors.
o Ensure that the Site Team/s functions profitably and that cost targets are achieved and
maintained
o Ensure direct subordinates maintain accurate and complete records of work activities.
o Ensure each site is properly staffed, equipped and supplied at all times.
o Approval of Requisition Forms, issuance of materials, manpower requests and sub-contract
works, in line with the approved budget of each existing site..
o Prepare & submit Monthly Progress to the Operation Manager as well as small material
procurement schedule.
o Ensure all sites have work schedules and programs to achieve the standard and scope of
service required per the contract.
- Quality – Training
o In charge of quality of service, based on OCS guidelines and training program
o Ensure proper use and maintenance of equipment.
o Being pro-active regarding solutions or suggestions for improvement of operating methods.
o Ensures all work is evaluated in line with QA policy.
o Ensure all customers are visited on regular basis as outlined in the “Customer Care” policy to
ensure service partnerships are built and maintained.
o Conducts trials and evaluations of new equipment, materials and procedures.
o Attend training sessions, seminars or exhibitions as necessary and insures that team
members attend scheduled training
- HR:
o Develop personnel to deliver a higher standard of service than that of competitors.
o Propose disciplinary actions when applicable on direct subordinates, in close coordination
with HR department and Operation Manager and always in respect of the Labor Law.
o Propose staff promotion, recruitments, disciplinary measures
o Ensure quality, professional and standard services are provided to all customers at all times.
o Hold regular meetings with site supervisors to communicate new policies and procedure
- Customer contact
o Be the single contact/focal point with representative of the key customer he is in charge
o Ensure customer complaints are acted upon and handled immediately per Company policy.
o Keep good relationship and level of the key customer he is in charge satisfaction in order to
renew 80% of contracts every year
o Keep constant feedback and good communication with customer, with pro-active attitude
o Propose improvements and cooperate with sales/operation for any additional services offers.
o Develops and improves existing services and introduces new services as appropriate.
- Financial
o Monitor profitability of all cleaning contracts of the key customer he is in charge
o Maintaining the revenue and gross profit of each project ensuring they remain profitable in
line with Targets
o Check expenses are in the budget ranges
o Keep profitability in the range of budget in quotation
o Follow-up of cash flow, trough schedule of invoice and payment
- Reporting
o Produces monthly operations report for Operation Manager
B. REQUIREMENTS
- Must have:
o 2 - 4 Years experience in a position involving supervision of multiple functions/areas or
responsibility in a medium or large company, preferably in a service related environment
o Good knowledge in property management services.
o Supervision skills
o Good interpersonal skills, ability to motivate and lead a team.
o Innovative and creative in seeking solutions to problems
o Willingness to work “hands on”
o Ability to handle multiple tasks and allocate time to accomplish specific objectives
o Self motivated and directed
o Good at MS Office & English
- Nice to have:
o Experience in hotel/residence management.

2. Power Division
Turnkey Project Manager

A. JOB DESCRIPTIONS
•General Mission
- Carrying out turnkey projects assigned to him while insuring the respect/control of margin level,
debts collection, timing of projects, QMS rules, safety and image of the Company.
•Project Management
In charge to manage successfully specific projects, including among other tasks:
Pre-Bidding Stage:
- Working upstream to try to influence or close the specifications and create a favorable situation
for the Company or its principals under instructions from Power Division Turnkey Manager (or
Power Division Manager when not applicable)
Bidding Stage:
- Study carefully the Bid documents to identify all necessary technical and commercial
specificities as well as risks and send the Power Project Profile (PPP) to Power Division
Manager as soon as possible.
- Liaison with known suppliers, or research of new suppliers (by respecting exclusivity agreement
or strategic relationships the Company may have) to collect quotations
- Analysis of competition
- Preparation of tenders or quotations (including forecast of necessary bid bonds when required).
- Discussion with Power Project Manager on technical solutions, costing and price level on a
project by project basis
- Submission of tenders or quotations on due time.
- Clarification preparation and submission
Contract Stage:
- Participate in the negotiate the contract with customer under instruction from Power Division
Turnkey Manager keeping in mind to preserve the interest of the Company
- Prepare budget and planning of the projects. Follow up.
- Contract management (including preparation of contract, negotiation with suppliers, purchasing,
documents for approval, follow-up of manufacturing/shipping, shipping documents, negotiation
of L/C if any, invoicing, payments to suppliers and from customers, penalties, after-sales, …),
including:
o Preparation of contract
o Negotiation with suppliers (make sure that negotiated standard payment terms with
suppliers are followed)
o Prepare and place P.O.
o Check that acknowledgements of orders are in line with our P.O. and quotations from
suppliers.
o Preparation of documents to be submitted for approval, including necessary design and
calculation.
o Follow up of manufacturing / shipping
o Provide all necessary information to Sales Administration and Logistic Staffs to establish
L/C, shipping documents, invoices, and shipment schedules.
o Make payment request to Administration on time to avoid implementation delays.
o Follow up payment from customer
o Controlling that suitable penalty for late delivery are applied to Manufacturers as per our
P.O. terms (and by the same time checking that delay is not due to our late answer or
payment)
- Respecting the contractual obligations of the parties.
- Keeping Power Division Turnkey Manager (or Power Division Manager when not applicable)
regularly informed about implementation of projects and problems which may happen
Monitor and Control
- Monitor / control the cashflow forecasts (including bonds and L/C).
- Control the collection of debts.

- Monitor / control the profitability of projects and propose remedy actions in case of deviance
versus forecasted profitability.
- Analyze the risks (payment terms, technical, currency, …) at each stage of the projects
(quotation and implementation).
Quality Management
- Respect the Company / Division quality management system
Reports:
- Reporting to Deputy Power Division Manager (or Power Division Manager when not applicable)
- Detailed activity report about all followed projects (weekly)
- All problems which may affect profitability, timing, company credibility, safety, QMS … and/or
for which he need the advise / arbitration of the Power Division Turnkey Manager
Key Performance Indicators (KPI)
- Weekly reporting (regularity and content)
- Cashflow follow up (regularity and accuracy)
- Debts collection (target is to have 50% to be collected at due date, 25% at 30 days from due
date and 25% at 60 days from due date. No debts at 60 days from due date)
- Respect of budgeted projects margin (and eventually ameliorate them)
- Respect of contractual timing
- Respect of QMS procedures
B. REQUIREMENTS
- Must have:
o Bachelor or Master in Electrical Engineering
o At least 5 years of experience. Working experience with Power Utilities and/or Contractor.
Experience of Project Manager of HV Turnkey Substations.
o Hard working, good communication, dynamic, rigorous, ability to travel and relocate
o May have to work for projects all over Vietnam (first project being most probably in
HaiPhong). May also have to work oversea for period up to 3 months time.
o Proficiency in MS Office
o Proficiency in English
- Nice to have:
o Project Management experience
o Male, 35-50 years old
